Traceability rules FAQs
I am a breeder/owner of a breeding horse

Q: Our horse has just retired from racing and we have decided to breed with it. Do we have to register it for breeding?

A: Yes. Within 7 days of making that decision, lodge a Breeding Horse Registration application online at www.studbook.org.au

Q: We have been breeding with our horse for years. Do we have to register it for breeding?

A: Yes. When you next lodge a Mare Return or Stallion Return you can lodge a Breeding Horse Registration at the same time. You will have to provide the names and contact details of all owners.

Q: We have just started breeding with our broodmare. When/how do we lodge a Mare Return?

A: Lodge a Mare Return online at www.studbook.org.au as follows:

  • if a live foal is produced, within 30 days of birth;
  • if your broodmare is not covered during a covering season, by 15 March of that season; or
  • if your broodmare is covered but doesn't produce a live foal, within 12 months of when she was last covered.

Q: When do we have to lodge a Foal Ownership Declaration? What happens if it is late?

A: Within 30 days of the foal's birth, lodge a Foal Ownership Declaration online at www.studbook.org.au. If your Foal Ownership Declaration is lodged late, your horse's registration for racing may not be permitted in the future. If you wish to race the horse or sell it for racing purposes, you will have to make a submission to Racing Australia as to why registration should be allowed.

Q: Our stallion is standing this covering season. When do we have to lodge a Stallion Return?

A: By 30 June before the upcoming covering season, lodge a Stallion Return online at www.studbook.org.au

Q: Our stallion is standing this covering season. When do we have to lodge Declarations of Service?

A: By the 15th day of the following month for very month during the covering season (e.g. by 15th November for October), lodge a Declaration of Service online at www.studbook.org.au

Where a stud lodges service dates electronically through a stud management program, files should be emailed to servicedeclarations@studbook.org.au

This must be done every month during the covering season, even if your stallion doesn't cover a broodmare in a particular month.

Q: We have sold our broodmare/stallion. What do we have to do?

A: Within 7 days of the sale, lodge a Breeding Horse Transfer of Ownership via a paper form here.

Q: We have purchased a broodmare/stallion. What do we have to do?

A: Within 7 days of the purchase, lodge a Breeding Horse Transfer of Ownership via a paper form here.

Q: Our broodmare/stallion has changed location. What do we have to do?

A: Within 3 days of your horse moving, the managing owner must lodge a Breeding Horse Change of Location online at www.studbook.org.au

Q: What if our broodmare/stallion only moves temporarily?

A: You don't need to notify the Australian Stud Book if your horse is away from its usual location for up to 7 days (if being covered or foaling or attending an auction) or up to 30 days (if receiving vet treatment).

Q: We have decided to retire our broodmare/stallion from breeding. What do we have to do?

A: Within 7 days of making that decision, the managing owner must lodge a Retirement/Death Notification online at www.studbook.org.au

Q: Our broodmare/stallion has died. What do we have to do?

A: Within 48 hours of death, the managing owner must lodge a Retirement/Death Notification online at www.studbook.org.au

Q: What is a horse status update?

A: If your horse hasn't had any activity recorded with the Australian Stud Book in 12 consecutive months, your horse's status/location must be updated. You won't have to do this if you lodge a Mare Return or Stallion Return each year.

Q: How will we know if we need to provide a status update for our horse?

A: The Australian Stud Book will send reminders to the managing owner at the following times:

  • email 7 days before 12-month mark;
  • email on day of 12-month mark;
  • text message 4 days after 12-month mark.

Q: What happens if we don't provide a status update on time?

A: You may be restricted from transacting with the Australian Stud Book/Racing Australia/Principal Racing Authority in relation to any horse you breed with or own (e.g. unable to submit nominations, receive prizemoney).
